What to Check When Your Clothing Sample Arrives
A step-by-step checklist so nothing slips through before you approve bulk production.
Check the sample against your spec in this order: measurements and fit, fabric and colour, decoration, construction and stitching, then labels, trims and packaging. Wash it once if you can. Send all your comments together with photos and measurements, so corrections are made in one round before bulk is cut.
1. Measurements and fit
- Lay the garment flat and measure the key points on your size chart: chest, length, sleeve, waist, hip, inseam.
- Compare each measurement with your spec and its tolerance.
- Try it on a person who matches your sample size, and check movement – reaching, squatting, running.
- Look at the neckline, shoulder seam position, sleeve and leg openings.
2. Fabric and colour
- Does the fabric weight and handfeel match what you chose? Our fabric GSM guide explains weights.
- Check colour in daylight against your reference or Pantone code.
- For activewear, check stretch, recovery and opacity – do a squat test for leggings.
3. Print and embroidery
- Position and size of every logo against your artwork placement.
- Sharp edges, correct colours and no misalignment.
- Embroidery: no loose threads, puckering or gaps; small text readable.
- Sublimation: no white creases or banding at seams.
4. Construction and stitching
- Even, straight seams with no skipped stitches.
- Secure stress points – pockets, crotch, underarms and waistbands.
- Zips, buttons, drawcords and eyelets working smoothly.
- Clean finishing inside the garment as well as outside.
5. Labels, trims and packaging
- Brand label, size label and care/fibre label wording – including the rules for your market (USA, UK, EU).
- Hang tag artwork and placement.
- Packaging, folding and polybag if you ordered them.
6. Wash test
If your timeline allows, wash the sample following your own care label. Check shrinkage, colour bleeding, print durability and how the fabric looks after drying.
How to send feedback
Put every comment in one message: a photo with the issue marked, the measurement you found and the measurement you want. One clear round of comments is the fastest way to bulk. See how long manufacturing takes.
In practice: every order we make starts with a sample like this – see how it fits into private label manufacturing and cut and sew, starting from 30 pieces per design with our low MOQ.
Common follow-up questions
How many sample rounds are normal?
Many orders are approved after one sample. Complex fits or new designs sometimes need a second round.
Should I approve a sample with small issues?
Only if the fix is clearly agreed in writing for bulk. Otherwise ask for a corrected sample so you can see the change.
Can I approve from photos and videos?
Yes, many buyers approve from detailed photos, videos and measurements, especially for repeat styles. For a new fit, a physical sample is safer.
Can a third party inspect bulk before shipping?
Yes. Independent inspections by companies such as SGS, Intertek or QIMA are welcome.
